Executive Administration Assistant

Boys & Girls Clubs of Greater St. Louis (BGCSTL) invites applications for the position of Executive Administrative AssistantThe Executive Administrative Assistant provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, managing and maintaining executive schedules, and making travel, conference call, meeting arrangements and handle confidential information with exceptional attention to detail.   

 

QUALIFICATIONS

  • An associate's degree in business or related field is required, or four years of closely related experience may substitute for the associate's degree. Additional experience in project management and customer service is preferred.  Bachelor's degree preferred.
  • Excellent writing, editing, and verbal skills required
  • Three to five years of experience in executive support.
  • Strong organizational skills with particular attention to detail.
  • Must be able to type accurately, enter information into a computerized system, and use database management software specific to services provided by BGCSTL. Prior computer/PC experience using other word processing, spreadsheets, and database management systems is required.  Microsoft Office programs essential. Excel and Access proficiency desired. 
  • Must be a team player, a self-starter, and possess ability to juggle multiple tasks simultaneously.

 

 

RESPONSIBILITIES

  • Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings
  • Considerable filing
  • Compose correspondence/reports for own or manager's signature
  • Arrange essential mail in priority action order for supervisor
  • Review and summarize reports and documents; prepare background documents and outgoing mail as necessary
  • Communicate and handle incoming and outgoing electronic communications on behalf of the Vice President
  • Check deadlines on incoming requests and put preliminary work in play
  • Assist Vice President with preparation of presentation materials
  • Answer phones and direct all incoming calls to appropriate party promptly and efficiently
  • Prepare agendas and supportive materials for meetings
  • Research, draft or abstract reports and aassist in pipeline/forecast preparation and management
  • Promote positive public relations with members and their families, partners, and guests.
  • Relieve management of administrative detail and coordinate project workflow
  • Update and chase delegated tasks to ensure progress to deadlines
