We are looking for an organized, analytical Executive Administrative Coordinator with exceptional communication and problem solving skills to handle office duties and optimize office operations. The Administrative Coordinator will report directly to Vice President, Human Resources and Administrative Services and work closely with the Department Directors to assist in request follow up, staff compliance issues and information requests. The Executive Administrative Coordinator will field interdepartmental communications, respond to mailings, and maintain employee records. They will also analyze office processes, develop creative solutions to problems and answer questions. To succeed as an Executive Administrative Coordinator, you should be committed to providing attentive support for internal and external parties and ensuring consistent, efficient operations. You should be courteous, analytical, proactive, and organized.
Executive Administrative Coordinator Responsibilities:
  • Ensuring that tasks are completed in accordance with existing policies and procedures.
  • Handling basic office duties, such as answering and routing phones, responding to emails, maintaining employee records, and data entry and reporting.
  • Answering questions and finding information for employees and vendors.
  • Supporting employees by facilitating interdepartmental communications and interactions between internal and external parties.
  • Ensuring that the office is well-maintained, organized, and secure.
  • Assisting with special projects, such as process and communication improvements.
  • Developing and implementing new procedures and processes.
Executive Administrative Coordinator Requirements:
  • High School Diploma or equivalent, degree preferred.
  • Experience in administrative support field, experience supporting HR preferred
  • Exceptional interpersonal and written and verbal communication skills.
  • Proficiency with Excel required
  • Proficiency with office technology and equipment, including fax machines, printers, copiers, scanners, and computers.
  • Creativity and strong problem solving skills.
  • Strong task and time management skills.
  • Basic math skills and understanding of basic financial concepts.
